Your Workstation Checklist for New Team Members
Onboarding a new team member is an exciting time. You’ve been through the gauntlet of hiring and now it’s time to introduce them to your company and their new role. Your employee’s computer set up and access to company tools are a huge part of a successful first day. Let’s be sure you’ve got your bases covered.
Here is your new hire IT checklist:
- Contact your IT provider the day the new employee’s signed offer letter is returned. Most IT managers want at least five (5) business days from receipt of the computer to ensure they have time to set it up. This is Focus Data Solutions minimum requirement.
- Confirm your new team member’s standard computer configuration with your IT team. IT Solutions Specialists want to confirm that every application a team member needs is installed.
- Verify the employee’s personal information. Your IT department will need your new employee’s name, their department, and any additional information to both identify and locate the person within your organization.
- Let the IT department know and grant access approvals for appropriate software, servers and drives the employee will be given access to.
- Consider scheduling a usage interview once your new staff person is on board. This helps your IT team verify all applications and settings meet your employee’s needs.
- Confirm the appropriate email address for the team member and ensure that the account is operational.
- Allow an additional 2-3 days for delivery after the set up if a computer is being shipped to a remote employee.
- Confirm that all the new employee’s IT is working properly one day prior to the official start date. This includes email addresses, passwords, etc.
- Schedule an IT session as part of your orientation. This should include printer access, mobile phones, tablets, and any other technology your new staff person will be using to conduct their jobs. Share how to request IT support through your help desk or managed services provider.
Here are the items you will need to do once the employee starts with your firm.
- Discuss cybersecurity immediately. Do not assume your team member has a firm grasp of cybersecurity. Provide new employees with basic cybersecurity policies and practices. All organizations that manage or maintain highly sensitive data should double their cybersecurity training and policies.
- Review your Acceptable Use Policy and any other IT related policies as part of your orientation. What can and can’t employees do with company IT assets? It is vital to have policies in place and that these are shared with each new employee.
